Responsible for performing all administrative, secretarial and office work relating to Chairman’s Office.


       I. Administration:


1. Drafts letters and prepares meeting agendas and minutes of meetings as needed (Arabic and English Correspondences).
2. Prepares/ undergoes final compilation of submittals/ tender documents for submission to the client.
3. Maintains the safe and secure storage of all files / records / documents.
4. Processes, distributes, sets-up, and maintains the filing system for the head office and keeps the safe custody of the documents.
5. Attends to visitor and telephone calls and schedule meetings for the Chairman.
6. Makes hotel reservations, travel arrangements and air ticketing for the Chairman and other Executives.
7. Handles mailing and dispatches to concerned departments.
8. Maintains incoming and outgoing correspondence log.
9. Monitors and updates the office registers & records.
10. Manages and maintain Chairman’s schedule.
11. Organizes all meetings such as Board Meetings, Executive Meetings, Business Meetings and others.
12. Makes special arrangements for private functions related to the Chairman, such as VIP Lunch and Dinner.
13. Coordinates the participation of the Chairman at formal functions such as Conferences and Forums.
14. Attends to the Chairman’s family matters such as applying for visa and all necessary travel arrangements.

15. Performs other special tasks assigned by the Chairman.




1. Provides assistance to the Chairman in follow-up with all concerned departments at Corporate / Branch level for the submission of various reports / documents concerning to operational / financial matters.
2. Analyses reports / documents received from concerned departments and preparing notes, key highlights and documents observations pertaining to project progress for the review of the Chairman.
3. Communicates to the concerned function(s) feedback received from the Chairman regarding any corrective measures or decisions to be taken with respect to projects.
4. Assists the Chairman in preparing technical presentations / reports for his official meetings.
5. Performs any other tasks including any adhoc responsibilities as per the directives of the Chairman.
